Application Forms You can publish any number of online application forms for your grants. You may include your choice of fields to obtain data and files from applicants. The fields used in your form(s) are simply mapped to the fields you have defined for your application database. Upon submit, our system automatically adds all data and files from the form into the application database for review by an administrative user. You can create multiple forms to accommodate different application requirements for various types of grants. For example, larger grants may require the submission of financial information while smaller grants may not.
There are several ways in which you may customize your forms:
- Tailor the look of the form to match your existing website
- Choose to include any field you have configured in your application database. This includes text fields, numeric fields, date fields, check boxes, radio buttons, drop-down lists, monetary fields, images, and file upload fields
- Define which of these fields are required for form submission
- Customize all instructional/help text on the form
- Tailor the message on the form confirmation page after submission
- Define email addresses for notification upon form submission
All of the information an applicant submits is automatically entered into the grant application database. Your administrator(s) will receive an email notification alerting them of the submission. At this time they can log into the system, manage the application, communicate with the applicant, and assign it for review, comment, and rating by your evaluators.
Intake Forms to Update Existing Applications You may also create any number of custom forms to update an existing application. Often times this is used to update applications as they progress through certain stages of approval (e.g., letters of inquiry, staff review, board review) or to track compliance reporting after the grant has been awarded. For example, if you required grantees to submit quarterly statistics and financial reports, you can easily create custom forms that include a request for this information. Again, this form can include any field you would like from the database. The grantee would simply visit the form, enter their application ID, fill in the required information and submit. All submitted information would be associated with the original application and on-screen and email confirmations would be sent to all appropriate parties.
